Documentation

What documents do you get when you buy chemicals from China?

Every batch ships with a Certificate of Analysis covering 12 specifications and a Material Safety Data Sheet, and on request you also get GMP certificates, testing reports, certificates of origin and the bill of lading. Export documentation, customs clearance paperwork and export handling are arranged as part of the shipment, and the goods are inspected and tested before they leave China, so the papers travel with the cargo rather than being assembled afterwards. Every product also has its HS code and specification listed, so your broker has what they need. What you may import and how it must be labelled is set by the authority in your country — that part I will not guess at.

What documents come with a shipment of chemicals?

Every batch ships with a Certificate of Analysis covering 12 specifications, and a Material Safety Data Sheet. On request you also get GMP certificates, testing reports, certificates of origin and the bill of lading. The export documentation, customs clearance paperwork and export handling are arranged as part of the shipment, so if your own logistics team takes over at the destination port, everything needed to clear customs is already with the cargo.

What is a Certificate of Analysis and what does it actually tell you?

A COA is the batch's own test result: what this consignment measured, not what the product is supposed to measure. It is issued per batch, covers 12 specifications, and it is the document that ties the goods in the container to a measured result. It does not tell you the product will be identical to the next batch, and it does not replace a specification agreed in advance — that is what the specification is for. A sample COA is available before you place the order, so you can see the format and the level of detail before committing to a container.

When are the documents issued?

Before the goods leave China. Every shipment is inspected and tested before it leaves, so the documentation travels with the cargo rather than being assembled afterwards. Certificates of origin and the bill of lading are issued as part of the export handling.

What still has to be checked on your side?

The rules for what you may import, and how it has to be labelled, packaged and registered, are set by the authority in your country and they change — sometimes by product, sometimes by use, and for a dual-use or hazardous substance they can be far stricter than for a general cargo item. That is not something I can answer for another country, and I would not want to guess at it. What I can do is give you the documents, the HS code for the product and the specification your order is made against, so your own broker or compliance person has what they need to work from. If a product needs a licence in your market, say so before you order and I will tell you plainly whether I can supply it.

Is the documentation included in the price or is it extra?

It is included. The price covers the product, the quality inspection, the packaging and the export documentation, with the freight shown as a separate line so you can see what you are paying for and what you are paying for shipping. Nothing is added later for paperwork that was agreed when the order was confirmed.

How do I get the documents?

Ask for them with the order, or ask for a sample COA before you order. Every product page lists the HS code and the specification, and the product catalogue lists them for all of them. Send the product, the quantity and the destination and you get factory pricing, lead times and the document set within two business days.

Which documents are supplied with which products?

The per-batch COA and the MSDS go with every shipment. The rest are supplied on request and can be arranged before the order is placed, which is usually worth doing if your own compliance process needs to see them first. Each product page carries the HS code and the specification the order is made against, and the catalogue lists them for the whole range. If you want to see the format before you commit, ask for a sample COA.
